Exploring the Manage People, Companies, and Organizations Screen
The Manage People, Companies, and Organizations (PCOs) screen is the "heart" of your recordkeeping for all important activities related to entities with which or with whom you interact on behalf of your organization. Those entities might be:
Individuals, couples, and families
Commercial and non-profit businesses
Associations
Other animal shelters, rescue organizations, and sanctuaries
Several animal milestones require you to associate a PCO record (surrender, foster, adoption, returned to owner, transfer), as do other activities such as events, donations, volunteering, and memberships. For this reason, you will find several screens throughout TYR, including this one, that enable you to add new PCOs and view details and histories for existing ones.
This screen has several distinct sections and tools, as indicated by the numbered areas in the image below.
Viewing Instructions:
To see a description of a numbered item in the image:
-Hover your cursor over the blue numbered circle or red rectangle around the numbered item for a popup window, OR
- Click the blue numbered circle or red rectangle to be taken to the description further down this page.
Close a popup window by moving your cursor away from that red rectangle.
Note: If you choose to go to the description further down this page, return to the top of the page by clicking either "Top" at the right side of the screen or the blue circled number beside the item's title.
Center Grid
The center grid of the Manage People, Companies, and Organizations screen displays a list of all the PCO records currently in your TYR database. Just below the grid on the left, you can see the total number of active PCO records. You can use buttons on the right side of the screen to perform actions on PCO records you select in the center grid.
To narrow down your search and temporarily hide other records in the center grid, if you know the last name or company name of the PCO, you can type it into the Last Name field. As you type, only the records with Last Name entries matching the characters you've typed in the Last Name Search field will appear in the center grid.
You can use this drop-down list to temporarily limit the PCO records that appear in the center grid to only those for People or for Companies and Organizations.
(Note: When you set up a new PCO record, you will designate whether the record is for one or the other.)
If you cannot recall the name of a PCO, you can use this Searches feature to find a PCO record using details you might remember from one of the other columns in the grid, e.g., first name, street address, etc.
When you select a single PCO record in the center grid, you can add these activities, one at a time, for that PCO. Each button launches a unique screen designed specifically for recording that particular type of transaction.(Note:Connect to Event, Volunteer, andMembershipmight require prior setup before you can use them effectively.)
When you select one or more rows in the center grid and click Copy Selection, you can then paste what you copied into a spreadsheet application like Microsoft Excel.
When you select a single PCO record in the center grid, you can enter these animal-specific transactions, one at a time, for that PCO. Each button launches a unique screen designed specifically for recording that particular type of transaction. (Note: As you become familiar with TYR, you will discover that some of these transactions can also be accomplished on other screens related to animals.)
Clicking the Home button gives you a quick way to return to the Home screen and the Animals button gives you a shortcut to the Manage Animals screen without having to return to the Home screen.
